# Check-in rules: paid breaks, the cut-off and opening the day

Set how long a break stays paid, when a forgotten shift closes itself, who is alerted, and whether staff must open the day before they clock in.

The rules behind [check-in](https://zeropos.shop/help/check-in) are set for the whole business in **Check-in and breaks**. A region or a single shop can have a cut-off of its own, and a shop its own rule on opening the day.

When you set up the shop, or when your break or closing times change. To clock in and out: [Check in and out](https://zeropos.shop/help/check-in).

Where to find it: MANAGE › Settings › Check-in and breaks; MANAGE › Settings › Day open / close; MANAGE › Settings › Notifications; MANAGE › Locations; MANAGE › Settings › Regions.

## Before you start

- By default the owner and administrators change **Check-in and breaks**. Managers can read it and change **Break-exceeded grace (minutes)**.
- A region's or a shop's own cut-off is set by whoever can edit regions and locations: the owner and administrators by default.

## Steps

### Breaks and the cut-off

1. Open [MANAGE › Settings › Check-in and breaks](https://app.zeropos.shop/backoffice/settings/users-checkin).
2. Set **Paid break (minutes)**: a break that long or shorter stays paid; a longer one is unpaid, all of it.
3. Set **Break-exceeded grace (minutes)**: the extra minutes before managers are told a break ran over.
4. Set **Cutoff hour** and **Cutoff minute**, in the shop's time, and keep **Auto-close past the cutoff** on to close shifts nobody checked out of.
5. Tap **Save**.

### A different cut-off for a region or a shop

6. For every shop in a region: open [MANAGE › Settings › Regions](https://app.zeropos.shop/backoffice/settings/regions), tap **Edit** on the region, and under **Shift cut-off** choose **Set a time for this region**.
7. For one shop: tap **Edit** on its row in [MANAGE › Locations](https://app.zeropos.shop/backoffice/locations), and under **Shift cut-off** choose **Set a time for this location**.
8. Type the time, in the shop's time. The line under it shows the cut-off in use.
9. Save. **Use the company cut-off** or **Use the region's cut-off** puts it back.

### Opening the day first

10. Open [MANAGE › Settings › Day open / close](https://app.zeropos.shop/backoffice/settings/shifts).
11. Switch on **Require an explicit day-open at every location.** if staff must open the day, with its float, before anyone sells or clocks in ([Opening float: open the day and count the cash](https://zeropos.shop/help/open-the-day)).
12. To set one shop apart, tap **Edit** on its row in [MANAGE › Locations](https://app.zeropos.shop/backoffice/locations) and choose under **Day open**.

### Who is told

13. Open [MANAGE › Settings › Notifications](https://app.zeropos.shop/backoffice/settings/notifications) and find **Other events**.
14. Tick or untick **Enabled** on **Staff check-in**, **Staff check-out** and **Break exceeded**, and choose which roles receive each.
15. Tap **Save** ([Notifications: sale alerts and other events](https://zeropos.shop/help/notifications-and-alerts)).

## What happens next

- Paid hours are each shift less every break longer than **Paid break (minutes)**, counted in full. They feed salaries and payroll ([Read your salary page](https://zeropos.shop/help/my-salary)).
- Soon after a shop's cut-off (its own, else its region's, else the company's), a shift still open there is closed at that time and marked **no-checkout** for a manager to check ([Check in and out](https://zeropos.shop/help/check-in#for-managers)).
- A break that runs past the paid minutes plus the grace sends **Break exceeded**, once per shift.
- Closing the day checks out everyone still clocked in at that shop ([Close the day](https://zeropos.shop/help/close-the-day)).

## Where staff can clock in

Staff clock in at the shops on their user record; owners and administrators at any shop. Nobody clocks in at a storage location.

Check-in asks which shop you are at; it doesn't use the phone's location.

One shift at a time: someone still clocked in elsewhere checks out first.

## Common questions

### Can each shop have its own break rules or cut-off?

Breaks follow **Check-in and breaks** at every shop. The cut-off can differ, set as in the steps above: a shop's own comes first, then its region's, then the company's. Whether the day must be opened first can differ too (**Day open**).

### What if auto-close is off and someone forgets to check out?

The shift stays open until they check out, the day is closed at that shop, or a manager sets the real times on the **Team** tab ([Check in and out](https://zeropos.shop/help/check-in#for-managers)).

### What does 0 paid minutes mean?

Every break is unpaid, however short.

## If you see this

- “**Today hasn't been opened at this location yet.**” — What to do: This shop opens the day before anyone clocks in. Open it on **New Sale** ([Opening float: open the day and count the cash](https://zeropos.shop/help/open-the-day)), or set the shop's **Day open** to **Not required at this location**.
- “**You can't clock in at a storage location.**” — What to do: Pick the shop you are working at: a storage location only holds stock.

## Good to know

- Set the cut-off a little after closing time: a shift still open then is closed at the cut-off, even if someone is still tidying up.
