# Find an invoice

Search and filter the Invoices list to find any sale or refund, read its status, and open it to print, email, refund or fix it.

Every sale and every refund is an invoice in one list. Sellers see their own; managers and owners see the whole shop.

Where to find it: BACKOFFICE › Invoices.

## Steps

1. Open [BACKOFFICE › Invoices](https://app.zeropos.shop/backoffice/invoices).
2. Type a number, or a customer's name, email or phone, in **Number or customer...**; the list narrows as you type.
   - A name is found without its accents: “ibanez” finds Ibáñez. A number or an email matches as you type it.
3. Pick the dates with **Today**, **Yesterday**, **This week** or **This month**, or set **From** and **To**.
4. Narrow the list with the type filter (**All**, **Sales**, **Refunds**) and the status tabs.
5. Use **All locations** and **All sellers** to see one shop or one person.
6. Type an amount in **Amount from**, **Amount to** or both, say 100 and 300, to find invoices of a certain size.
   - A refund counts by its size, so a refund of 150 is included.
7. Tap **More filters** for payment method, product or treatment, category, discount, **Gift cards**, days, time of day, items and **Changed after the sale**.
   - The button shows how many are in use; **Clear these filters** removes them.
8. Tap the invoice number to open it.
   - The row's ⋮ menu also offers **Open**, **Print**, **Refund…**, **Email receipt** and **Cancel invoice**, depending on your access.

## What happens next

- Searching and filtering change nothing: they only choose what the list shows.
- Managers and owners also see counters at the top (**Invoices**, **Sales total**, **Refunds total**, **Net**). They follow your filters, so one seller and **This week** shows their week at a glance.
- The invoice page shows the receipt, the payments, the sellers and any **Related invoices**. From there you can **Print receipt**, email it, refund or edit it.

## What each status means

**Validated**: a finished sale. Sales rung up at the till are validated straight away, and a sale refunded only in part stays validated.

**In Pending**: appears only on older or unusual records; sales rung up at the till never land here. A manager opens it and taps **Validate**; that changes only its status.

**Open layaway**: a layaway still being paid off. Opening it takes you to its layaway page ([Layaway: hold items while a customer pays over time](https://zeropos.shop/help/layaway)).

**Refunded**: every line has come back through a credit note. **Canceled**: the sale was cancelled and its stock returned ([Fix a sale: edit, cancel or refund?](https://zeropos.shop/help/fix-a-sale#cancel)).

## Good to know

- **Below minimum** shows only sales that closed under the combined minimum price of their products ([Below-minimum approvals](https://zeropos.shop/help/below-minimum-approvals)).
- To keep a set of filters for next time, or send them to a colleague, use **Views** and **Copy link**: [Save a view and share a link](https://zeropos.shop/help/saved-views-and-links).
