# Gift cards outstanding: what you still owe

See how much your shops still owe on gift cards sold but not yet spent, by shop and by age, and find each card that still has money on it.

Every gift card is money already taken for goods not yet handed over. The **Gift cards outstanding** report adds it up; the Gift cards screen lists the cards one by one.

To know what the shop owes on cards. To sell, spend, re-date or stop a card: [Gift cards](https://zeropos.shop/help/gift-cards).

Where to find it: INSIGHTS › Reports; BACKOFFICE › Gift cards.

## Before you start

- The report needs access to Reports: by default owners, administrators and managers. Anyone who sells can open the Gift cards list.

## Steps

### The totals

1. Open [INSIGHTS › Reports](https://app.zeropos.shop/reports/data) and tap **Gift cards outstanding**.
2. Check the dates at the top: they pick cards by the day they were sold, and the report opens on this year.
   - Widen them to include older cards that still have money on them.
3. Read **Still owed** on the total row: what all those cards still hold.
4. Use **Group by** to split it by **Region**, **Location**, **Age** or **Month**, and the filters to keep one region or shop.
5. Tap **Export CSV** to send the figures to your accountant.

### Card by card

6. Open [BACKOFFICE › Gift cards](https://app.zeropos.shop/backoffice/gift-cards): the list opens on **Still owed**.
7. Read **Left** on each row: what that card still holds, next to **Issued** and **Expires**.
8. Type a code, or the name a card was bought for, in the search box to find one card.

## What happens next

- Nothing changes: the report and the list only read the cards.
- The money was counted on the day each card was sold. Spending a card lowers what is owed and isn't counted as a sale again ([Gift cards](https://zeropos.shop/help/gift-cards)).
- Stopping a card takes it out of what is owed at once.

## What counts as owed

A card counts while it has money left and hasn't been stopped, expired cards included: the shop took the money, and an owner or manager can give the card a new date with **Change the expiry**.

Cards given away with **Issue a card** count too: the shop owes them in goods all the same.

**Sold** is what the cards were worth when issued, **Spent so far** what has been used, and **Still owed** what is left. **Cards** counts them.

## Common questions

### Do expired cards still count?

Yes, while they have money on them: the customer paid for it. An owner or manager can give the card a new date with **Change the expiry** ([Gift cards](https://zeropos.shop/help/gift-cards)).

### Why is a card I know about not in the report?

The dates pick cards by the day they were sold: widen them. A card that is fully spent or stopped owes nothing, so it isn't counted.

### Can I see what was owed at the end of last month?

No: **Still owed** is what the cards hold today, for the cards sold in the dates you pick. Export it on the day you need the figure, such as the last day of the month.

## Good to know

- Group by **Age** to see how long money has been waiting on cards.
