# Add a payment method

Create and order the payment methods the till offers, send each one to an account and record card fees. Each region keeps its own list.

Sellers see this list at the till when they take a payment. You decide what appears and in what order, which account each method's money lands in, and what the card company keeps.

Where to find it: INSIGHTS › Accounting › Payment methods.

## Before you start

- Your shop runs Expert accounting. In Simple mode the till offers a fixed list and this screen doesn't open ([Simple or Expert accounting](https://zeropos.shop/help/simple-or-expert)).
- To send the money to an account, create the account first ([Cash and bank accounts (Expert)](https://zeropos.shop/help/cash-and-bank-accounts)), or tap **+ New** inside the form.

## Steps

### Add a method

1. Open [INSIGHTS › Accounting › Payment methods](https://app.zeropos.shop/backoffice/settings/payment-methods).
2. Check **Region** at the top: each region has its own methods.
3. Tap **Add payment method**.
4. Type the **Label** sellers will see, for example Revolut. The **Key** fills itself in.
5. Pick the **Ledger** the money lands in, or leave **— No ledger —** for now.
6. Under **Processor fee**, type what the card company keeps: **Fee %**, **Fee fixed**, or both.
   - Leave both empty for cash or any method without a fee.
7. Tap **Save**.

### Order the list and pick the default

8. Use the arrows (**Move up**, **Move down**) to set the order sellers see.
9. Untick **Enabled** to hide a method at the till without losing its history.
10. Tap **Set** in the **Default** column to preselect that method when a new sale opens.

## What happens next

- The method shows at the till straight away, in the order you set.
- Each payment taken this way adds to its account's balance. A method with no account still takes the money, but it stays out of the account balances until you attach one.
- With a fee set, every payment also records the fee against the same account, so its balance matches what really reached you. The total shows as **Processor fees** on the [Read the Accounting overview](https://zeropos.shop/help/accounting-overview).
- A refund gives back the percentage part of the fee; the fixed part stays with the card company.

## How card fees are worked out

The fee is the percentage of the payment plus the fixed amount. A **Fee %** of 2 on a sale of 200 records a separate −4 on the same account.

Fees are recorded only when the method has a **Ledger**. Your sales figures still show the full amount the customer paid.

## Common questions

### Why can't I delete a method?

A method used on an invoice in the last 30 days can't be deleted. Untick **Enabled** instead: it disappears from the till and its history stays.

### I can't find Payment methods.

It opens only in Expert accounting. In Simple mode the till offers card, cash, bank transfer and other, with nothing to set up ([Simple or Expert accounting](https://zeropos.shop/help/simple-or-expert)).

### Where are store credit and gift cards?

They aren't on this list. The till offers **Store credit** when the customer has a balance, and **Gift card** when a card code is entered. Neither brings new money in, so neither goes to an account.

## If you see this

- “**This method was used on an invoice in the last 30 days. Disable it instead to stop it showing on the POS while preserving history.**” — What to do: Untick **Enabled** for that method instead of deleting it.
- “**That key is already used by another method in this region.**” — What to do: Change the **Key** to one this region doesn't use yet, for example revolut2.
- “**Set ledger** in red in the **Ledger** column” — What to do: Tap **Edit** (the pencil) on that row and pick a **Ledger**. Until then its payments stay out of your account balances.

## Good to know

- Name a method the way sellers say it at the counter: the **Label** is exactly what the till shows.
