# Team salary and payroll runs

See the team's pay side by side, then save the month as a payroll run for your accountant. A run only records the figures; you log what you paid as an expense.

**Team salary** shows everyone's hours, commission and payout for a period. A payroll run freezes those figures so you and your accountant have a copy that no longer moves.

Where to find it: INSIGHTS › Payroll › Team salary; INSIGHTS › Payroll › Payroll history.

## Before you start

- By default the owner, administrators and Human Resources see **Team salary** and run payroll. Managers can read **Payroll history**.
- Check everyone's pay is set up ([Set someone's pay: hourly rate and commission](https://zeropos.shop/help/set-up-pay)) and their check-ins are complete ([Check in and out](https://zeropos.shop/help/check-in)).

## Steps

### Check the team's pay

1. Open [INSIGHTS › Payroll › Team salary](https://app.zeropos.shop/reports/salary/team).
2. Under **Period**, tap **Month** and go to the month you are paying.
3. Read each row: **Hours**, **Net sales**, **Commission**, **Hourly ledger**, **Bonuses** and **Payout**.
4. Tap a name to open that person's day-by-day page.

### Add a bonus or deduction

5. On the person's page, tap **Add adjustment**.
6. Choose **Bonus (+)** or **Deduction (−)** and type the amount.
7. Under **Settlement**, pick **Settled on payroll**, or **Already paid (post to ledger)** if the money has already changed hands.
   - For a bonus already handed over, pick the account it came out of; for a deduction already paid back, the one it went into.
8. Set the **Effective date**: it decides which month it counts in.
9. Tap **Save bonus** or **Save deduction**.

### Save a payroll run

10. On **Team salary**, tap **Run payroll**.
11. Pick the period, and the **Region** if you are offered one.
12. Tap **Preview run** and check the lines.
13. Type an **Adjustment** and a reason on any line that needs correcting.
14. Add **Notes (optional)** for your accountant, then tap **Save snapshot**.

## What happens next

- The run appears in [INSIGHTS › Payroll › Payroll history](https://app.zeropos.shop/reports/salary/payroll) as a frozen copy. Later refunds or pay changes don't alter it.
- Nobody is paid, and the run doesn't touch your accounts or net profit.
- Pay your staff as usual, then log what you actually paid, tax included, as an expense ([Record an expense (including wages you paid)](https://zeropos.shop/help/log-an-expense)).
- A bonus marked **Already paid (post to ledger)** leaves the account you picked when you save it, and the run takes it off that person's payout so it isn't paid twice. A deduction marked so is money they paid back: it goes into that account, and their payout doesn't take it off again.

## Inside a run

Open a run from **Payroll history** to see each person's line and the **Adjustments breakdown**.

Under **Final**, a line names what its payout leaves out because it was settled at the time: bonuses already paid, and deductions already paid back. They are settled: don't apply them again on the payslip.

You can change line adjustments and **Notes**, then tap **Save changes**. **Saved total** and **Live total** show whether your edits are saved.

**Delete** removes a run for good.

## Common questions

### Does saving a run pay anyone or post to my accounts?

No. It is a record for your accountant. Log the real payment as an expense ([Record an expense (including wages you paid)](https://zeropos.shop/help/log-an-expense)).

### How do I record a cash advance?

In two steps. Log the cash you hand over as an expense, paid from the account it left ([Record an expense (including wages you paid)](https://zeropos.shop/help/log-an-expense)). Then add a **Deduction (−)** for the same amount, **Settled on payroll**: payday pays only the rest. Don't mark it **Already paid (post to ledger)**: a bonus marked so is left out of the payout, and a deduction marked so is money paid back.

### A refund came in after I saved the run.

The saved run keeps its figures. The refund takes commission back on the day it is made, so it shows in that month's figures.

### How do I get a spreadsheet?

Tap **Export CSV** on **Team salary**. By default only the owner and administrators can export pay.

### Why can't a manager run payroll?

Running payroll and opening other people's salary pages are, by default, for the owner, administrators and Human Resources. The owner can change that ([What each role can do](https://zeropos.shop/help/roles-and-permissions)).

## Good to know

- Save the run after the month has closed and every check-in is fixed; a run doesn't update later.
