Terms of service

The agreement between us and every business that uses Zero POS: what we provide, what it costs, and what each of us is responsible for.

Contents18 sections
  • Zero POS is free during early access. Before any first bill, the workspace owner gets at least 30 days’ notice by email.
  • When paid plans start, you pay per shop, month to month, with no minimum term, and you can cancel at any time.
  • Your data stays yours. The owner can download all of it whenever they like.
  • You decide what you record about your customers and staff; we process it only for you, under the data processing agreement.
  • We keep Zero POS running as well as we can, but we do not promise it will always be available.

This summary is here to help. The numbered clauses below are the terms.

1About these terms

  1. 1.1

These terms are an agreement between Colossus Investments Limited (registration: 114330, Companies House Gibraltar (Registrar of Companies) · REID GICO.114330-88; registered address: 21 Engineer Lane, Gibraltar GX11 1AA), which provides Zero POS (“we”, “us”), and the business that opens a Zero POS workspace (“you”).

  2. 1.2

Zero POS is for businesses, not consumers. By opening a workspace, you confirm that you are acting for a business, and that the person signing up may accept these terms on its behalf.

  3. 1.3

In these terms, your workspace is your business’s own space in Zero POS; a shop is a place you sell from; your users are the people you give access to; and customer data is the personal data about your customers, staff and suppliers that you and your users put into Zero POS.

  4. 1.4

Two other documents apply with these terms: the data processing agreement, which forms part of them and covers customer data, and our privacy policy, which explains how we handle personal data for our own purposes.

2The service

  1. 2.1

Zero POS is software for running a shop: the till, customer files, treatments and bookings, stock, staff planning, reports and accounts. It runs in a web browser on phones, tablets and computers, so there is nothing to install.

  2. 2.2

We keep developing Zero POS, so its features change and improve. If a change would take away something important that you rely on, we will tell the workspace owner by email before it happens.

  3. 2.3

Zero POS does not take card payments itself. You take them on your own card terminal, through your own payment provider, and record them in Zero POS. Zero POS never sees card numbers.

  4. 2.4

Step-by-step guides, in English and Spanish, are in the help centre.

3Accounts and users

  1. 3.1

The person who opens the workspace becomes its owner. The owner can add users, choose what each of them may see and do, and remove them.

  2. 3.2

You are responsible for your users and for what they do in Zero POS. Give each person their own account, keep sign-in details private, and remove access when someone leaves.

  3. 3.3

To save time at the counter, a device can remember the workspaces used on it, and people can sign in with Face ID, Touch ID or their device’s own screen lock (passkeys). Anyone who can unlock such a device can open those workspaces, so look after your shop’s devices.

  4. 3.4

If you think someone has got into an account who should not have, change that account’s password and tell us straight away.

4Early access and fees

  1. 4.1

Zero POS is in early access. While early access lasts, using it is free: we bill nothing and ask for no card details.

  2. 4.2

Before we bill you for the first time, we will email the workspace owner at least 30 days in advance, saying what you will pay and from when. If you do not want to pay, you can close your workspace before then and you will owe nothing.

  3. 4.3

Once paid plans start, you pay per shop, per month, at the prices on our pricing page: $99, £79 or €89 a month for your first shop and $79, £59 or €69 a month for each further shop, plus any tax that applies. Paying a year in advance costs the price of 10 months.

  4. 4.4

Founding offer: if your business opens its workspace before 31 March 2027, you pay $79, £59 or €69 a month for every shop, your first shop included, for as long as you keep your workspace.

  5. 4.5

We may change our prices. We will email the workspace owner at least 30 days before a new price applies to you, and you can close your workspace before then if you do not accept it.

  6. 4.6

In the email we send before your first bill, we will explain how billing works: when you are charged, and how you pay.

5Month to month, and cancelling

  1. 5.1

There is no minimum term. Once paid plans start, your plan runs from month to month until you cancel.

  2. 5.2

Only the workspace owner can cancel. You do it in the app, under Settings → Workspace & data, typing the workspace’s name to confirm.

  3. 5.3

Cancelling closes the workspace at once: nobody can use it any more, except the owner, who can still reopen it or download its data.

  4. 5.4

For 30 days after you cancel, nothing is deleted. During that time the owner can reopen the workspace exactly as it was, or download everything in it.

  5. 5.5

After those 30 days, the workspace and everything in it are due to be deleted permanently. We carry out that deletion ourselves, as a deliberate step, and once it is done it cannot be undone.

  6. 5.6

Your data is yours, and you do not need to cancel to take it with you. At any time, the owner can download the whole workspace as a file (Settings → Workspace & data), and most reports can be downloaded as CSV files, for a spreadsheet or for your accountant.

  7. 5.7

Where the law requires you to keep records for a number of years, such as tax records, download them before your workspace is deleted.

6Your responsibilities

  1. 6.1

You use Zero POS lawfully, and only for your own business.

  2. 6.2

You decide what you record about your customers and staff, and why. You are responsible for having a lawful basis for it, for telling people how their data is used, and for any consent you need, for example before you email customers offers.

  3. 6.3

Your card terminal and your payment provider are your own, and your agreement with them is between you and them. Zero POS records how each sale was paid, and the end-of-day close shows what your terminal should have taken; checking that against your terminal is up to you.

  4. 6.4

Zero POS helps you keep your sales, tax and accounting records, but you remain responsible for your invoices, tax returns and records, and for checking that your settings, such as tax rates, are right for your business. Nothing in Zero POS is tax, legal or employment advice.

  5. 6.5

Wherever you trade, check that Zero POS meets your local rules for invoicing, tax and till software before you rely on it.

  6. 6.6

Zero POS works out pay, commission and time off from what you enter, but it pays nobody and files nothing. You check the figures, make any payments yourself and record them.

  7. 6.7

You are responsible for what you put into Zero POS, such as products, prices, pictures and texts, and for the emails you send through it, and you must have the right to use them.

  8. 6.8

If you connect your own email account to send receipts, booking confirmations or offers, that provider’s terms apply to you too, and you must follow the law on marketing messages.

7Acceptable use

  1. 7.1

You and your users must not:

    • use Zero POS for anything unlawful, or to send marketing that the law does not allow;
    • try to get into another business’s workspace, or into parts of Zero POS you have not been given access to;
    • probe, scan or test Zero POS for weaknesses without our written permission, overload it, or get round its security or its limits;
    • copy, resell or rent out Zero POS, or use it to build a competing product;
    • upload anything harmful, such as viruses or other malicious code.
  2. 7.2

If these rules are broken, we may act as described in Suspension and ending.

8Availability

  1. 8.1

We work to keep Zero POS running and to fix faults as soon as we can, but we cannot promise that it will always be available or free of errors, and we do not promise any particular level of availability.

  2. 8.2

Zero POS needs an internet connection, and it depends on services run by others, such as hosting, the database and email delivery. Problems there, or with your own connection or devices, can affect it.

  3. 8.3

Sometimes we need to pause Zero POS for maintenance. Where we reasonably can, we do it outside shop hours and tell you beforehand.

  4. 8.4

Keep your own copy of anything the law requires you to keep, and download your data regularly.

  5. 8.5

During early access, Zero POS is provided free of charge and as it is, and it may change as we develop it.

9Support

  1. 9.1

The help centre has step-by-step guides in English and Spanish.

  2. 9.2

For anything else, write to us at info@zerolines.life. We answer as soon as we reasonably can; we do not promise a response time.

  3. 9.3

Our support staff can enter your workspace to help you. The owner can give them permission for a limited time, under Settings → Workspace & data, and withdraw it at any time. They may also enter without that permission when they need to, for example during an incident, but then they can only look, unless they confirm, with a recorded reason, that they must change something.

  4. 9.4

Support staff need a second factor to enter a workspace, and every visit is recorded in the workspace’s activity history, which the owner can read.

10Personal data

  1. 10.1

For customer data, you are the controller and we are your processor: we handle it only to provide Zero POS to you, and on your instructions. The data processing agreement sets out how, and forms part of these terms.

  2. 10.2

For the personal data we handle for our own purposes, for example about the people who hold accounts or who write to us, see our privacy policy.

  3. 10.3

We do not sell your data or anyone else’s, and we do not use it for advertising.

11Intellectual property

  1. 11.1

Zero POS, including its software, design, texts and help guides, belongs to us or to those who license it to us. While these terms apply, you and your users may use it for your business. These terms give you no other rights in it.

  2. 11.2

Your data is yours. You allow us to store, copy and process it only as needed to provide Zero POS to you, as these terms and the data processing agreement describe.

  3. 11.3

If you send us ideas or suggestions, we may use them freely and without owing you anything for them.

12Confidentiality

  1. 12.1

Each of us will keep the other’s confidential information secret, and use it only for the purposes of these terms. For us, that includes everything in your workspace.

  2. 12.2

This does not apply to information that is already public, that the other side already had, or that the law requires to be disclosed. In that last case, where the law allows, the side that must disclose it will tell the other first.

13Liability

  1. 13.1

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that the law does not allow to be limited.

  2. 13.2

Neither of us is liable to the other for loss of profits, sales, business or goodwill, or for any indirect or consequential loss.

  3. 13.3

Otherwise, our total liability to you in any 12 months is limited to the fees you paid us for Zero POS in those 12 months.

14Suspension and ending

  1. 14.1

We may suspend a workspace, or a user’s access, if we reasonably need to: to protect Zero POS, your data or other businesses, for example from a security threat; if these terms are seriously broken; or if the law requires it. Where we can, we will tell you first and give you the chance to put things right.

  2. 14.2

We may end these terms and close your workspace if you seriously break them and do not put things right after we have told you, or, with reasonable notice by email, if we stop providing Zero POS.

  3. 14.3

If we suspend or close your workspace, the owner can still download its data, unless the law or a serious security risk prevents it. Month to month, and cancelling explains what happens after a workspace closes.

  4. 14.4

You can end these terms at any time by cancelling, as described in that same section.

15Changes to these terms

  1. 15.1

We may update these terms. If a change affects your rights, we will email the workspace owner at least 30 days before it applies, and you can cancel before then if you do not accept it. Changes that do not affect your rights, such as corrections, apply once published.

  2. 15.2

The date at the top of this page shows when these terms last changed.

16Governing law and disputes

  1. 16.1

These terms, and any dispute about them, are governed by the laws of Gibraltar, and the courts of Gibraltar have exclusive jurisdiction.

  2. 16.2

If something goes wrong, please tell us first. Most problems are quicker to solve by talking.

17General

  1. 17.1

These terms, together with the data processing agreement, are the whole agreement between us about Zero POS.

  2. 17.2

If a court finds part of these terms invalid, the rest still applies.

  3. 17.3

If either of us does not enforce a right straight away, that right is not lost.

  4. 17.4

We may transfer these terms to a business that takes over Zero POS, and will tell you if we do. You may transfer them only with our written agreement.

  5. 17.5

Only you and we have rights under these terms.

  6. 17.6

These terms are published in English and Spanish. Both versions are meant to say the same thing; if you find a difference, please tell us.

18Contact

  1. 18.1

You can write to us at info@zerolines.life, or by post to Colossus Investments Limited, 21 Engineer Lane, Gibraltar GX11 1AA.

  2. 18.2

We write to you at the email address of your workspace’s owner, so please keep it up to date.
