Correct stock by hand (Stock adjust)

Add, remove or set a product's quantity at one shop, with a reason. Every change is logged, so you can see later who changed what and why.

How-toBy default: Owner · Administrator · Manager · Seller · LogisticWhere: Quick actions › Stock adjustChecked 13 Oct 2026

Owners can change what each role may do.

Stock adjust is the quick fix for one product at one shop: a miscount, stock found in the back, or a delivery that came without an order.

When to use it

For one product at a time. Opened testers and broken stock go through Mark tester or damaged; checking many products is a Blind stock-take: count your shop's stock.

Before you start

  • Know which shop you are correcting: each adjustment is for one shop.

Pick the shop first; each row then has its own Adjust button.

Steps

  1. Step 1

Open Quick actions › Stock adjust and pick your shop in Location.

    • All locations (overview) only shows totals, and Adjust stays greyed out until you pick a shop.
  2. Step 2

Search for the product and tap Adjust on its row.

  3. Step 3

Choose Add, Remove or Set to.

    • Add and Remove change the count by the quantity; Set to replaces the count the window shows with the number you type.
  4. Step 4

Type the Quantity. The bottom of the window shows the count now and after the change.

  5. Step 5

Change the Minimum quantity if this shop should count the product as low at a different level.

  6. Step 6

Write a Reason / note (optional), for example “counting error”, and tap Save.

What happens next

  • The shop's count changes at once, and the change is logged with your name and the reason. It shows in the Stock Movements report (INSIGHTS › Reports).
  • No money moves: an adjustment never touches takings, invoices or the day's close.
  • If the count drops to the shop's minimum or below, managers and owners get a low-stock alert, when that notification is on.
  • The Minimum quantity is the level at which the product counts as low at that shop, for example on BACKOFFICE › Inventory › Reorder.

Questions

Why are some stock numbers red or amber?
Red means below zero: more units were sold or moved than the system thought it had. Amber means none left, or at or below the minimum. For a red one, count the shelf and use Set to with the real number.
Should I adjust, or do a stock-take?
Adjust when you know one number is wrong. To check many products, do a Blind stock-take: count your shop's stock: counters don't see the system's figure, and the differences are kept for the variance report.
A delivery came without a purchase order. Can I just add it?
Yes: use Add with a note naming the supplier. If you order through Zero POS, receive the order instead (Order from a supplier and receive it) so the delivery and its cost stay together.
What does the Transfer button on the same row do?
It sends units of that product from this shop to another one: Move stock between shops.

If you see this…

  • On screen

    Pick a location first

    What to do

This hint shows on a greyed-out Adjust while the list is on All locations (overview). Pick one shop in Location, then tap Adjust.

  • On screen

The stock here changed while this window was open (a sale, a transfer or a count): it is now …. Nothing was saved. Check the figure, then save again if your change is still right.

    What to do

Set to replaces the figure the window showed, and the shop's stock moved while it was open, so your number would have undone that. The bottom of the window now shows the shop's figure: check it, change the Quantity if needed, and tap Save.

  • On screen

You can adjust stock only at the shops you work in.

    What to do

Your account adjusts stock only in its own regions and shops. Someone who works at that shop, or the owner, can adjust its stock.

Good to know

  • Always write a reason. Months later, it is the only clue to why the count changed.
  • Found a tester or a broken item? Record it in Mark tester or damaged, not here, so losses stay separate from corrections.
