Product photos and categories

Give each product a photo sellers recognise and categories that become the till's tabs and the reports' filters. Both are set on the product's form.

How-toBy default: Owner · Administrator · Manager · LogisticWhere: BACKOFFICE › Inventory › ProductsChecked 12 Oct 2026

Owners can change what each role may do.

A product's Photo and Categories are on its form, in BACKOFFICE › Inventory › Products. The photo is what sellers see on the till's product cards; each category becomes a tab on the till and a filter in the reports.

When to use it

To change how a product looks and where it is filed. For its prices and stock: Products and stock.

On this page

Before you start

  • A picture of the product on the device you are using: JPG, PNG, WebP or SVG, under 6 MB.
  • A product to give it to: a new one is made with New Product (Products and stock).

The product list with photos, prices, stock at each shop and categories

Each row shows the price, the minimum and the stock at each shop.

New Sale with product photos on the left and the customer and cart on the right

Tap a card to add it; the customer, cart, sellers and payment sit on the right.

Steps

Add or change a photo

  1. Step 1

Open BACKOFFICE › Inventory › Products and tap the product's name, or Edit in its row menu.

  2. Step 2

Under Photo, tap Upload photo, or Replace photo if it already has one.

  3. Step 3

Pick the picture. On a phone or a tablet you can usually take one there and then with the camera.

  4. Step 4

Wait while the button reads Processing…: Zero POS makes the photo smaller and keeps a small copy for the till.

  5. Step 5

Check the preview beside the buttons, then tap Save Changes.

    • Remove takes the photo off; save to keep it that way.

File it under categories

  1. Step 6

On the same form, tap in Categories: the list shows the categories in use, the most used first, with how many products each holds.

  2. Step 7

Tap one to add it, or type to narrow the list: “tonicos” finds Tónicos.

  3. Step 8

For a new category, type its name and tap Create.

  4. Step 9

Add every category it belongs to, the main one first: reports that group by category count a product under its first.

  5. Step 10

Tap × on a category to take it off, then tap Save Changes.

What happens next

  • The till on this device shows the change at once; a till already open elsewhere does once you leave New Sale and come back, or reload.
  • Each category is a tab after All on the till, in alphabetical order, with how many products it holds; a product with two categories is under both.
  • Stock, prices and past sales don't change. Reports read each product's categories as they are now, so its past sales follow it to a new category.

Where they show

The photo: the till's product cards, the Products list, the Products dashboard, a deal's page and offer emails (Prepare a deal for one customer, Write an offer email). A till card without one reads No image.

The categories: the till's tabs, the Categories column of the Products list, the Categories filter of the Sales, Products, Stock Ageing, Stock Movements and Stock-take Variance reports, and Contains category on the invoice list (Find an invoice).

The Products report grouped by Category, and Stock-take Variance By category, count each product under its first category, and one with none under Uncategorised (Stock reports: what sells, what sits and where it went).

Photos that work at the counter

The till fills a tall card with the photo, so the sides of a wide picture are cut off. Put the product in the middle, on a plain background.

Any picture under 6 MB will do: Zero POS shrinks it, so a large photo straight from a phone is fine and the till stays quick.

A treatment's photo is set on its own form, in the treatment menu (Turn on treatments).

Questions

How do I rename a category?
Categories have no list of their own: a category exists while a product carries it. Open each product filed under it, take the old name off, add the new one and save. When no active product carries the old name, its tab goes.
Why are there two tabs for the same thing?
Two spellings are two categories, such as “Serums” and “serums”. Pick the category from the list instead of typing it again, and move the products filed under the other spelling.
Can I add photos to many products at once?
No: a photo goes on one product at a time, on its form. An import brings in names, prices, barcodes and categories, but not photos (Import your product list).
Can an import set categories?
Yes: put them in the “Categories” column of the template, several in one cell separated by semicolons (Import your product list).

If you see this…

  • On screen

That image is too large — the source file must be under 6MB.

    What to do

Pick a smaller file, or take the picture again at a lower size.

  • On screen

That image is still too large after resizing — try a simpler or smaller photo.

    What to do

Rare with a photograph: it happens with a large picture on a transparent background, or a big SVG. Save it as a JPG and upload it again.

  • On screen

Pick an image file (PNG, JPG, SVG, WebP).

    What to do

The file you chose isn't a picture. Pick the photo itself.

  • On screen

This photo can't be opened here. Save it as a JPG or PNG and upload it again.

    What to do

The browser couldn't open the file: a format it doesn't read, such as an iPhone's HEIC photo on a computer, or a damaged file. Save a copy as a JPG and pick that one.

  • On screen

    Could not process that image.

    What to do

The file couldn't be read, or this browser can't resize pictures. Pick the photo again; if it still fails, try another browser.

Good to know

  • Pick categories from the list rather than typing them: one spelling keeps one tab.
