Treatments & appointments

Treatment rooms and who does each treatment

How many treatments each shop can run at once, counted the same way by the calendar and online booking, and how to choose who carries out each appointment.

Owners can change what each role may do.

Treatment rooms says how many customers can have a treatment at the same time. The calendar and the online booking page count them the same way, from one number for every shop on BACKOFFICE › Treatments › Online booking or a shop's own in MANAGE › Locations. Each appointment can also name who carries it out.

Online booking settings: which shops take bookings, treatment rooms and notice

Choose the shops that take bookings and how much notice you need.

How many at once

A time can be booked while a room is free for the whole treatment. A two-room shop takes two customers at 11:00, in the calendar or online, and refuses a third with That time slot is already booked.

Set the number for every shop under Treatment rooms on BACKOFFICE › Treatments › Online booking; it saves as soon as you leave the box. A shop with a different number sets its own Treatment rooms in its form in MANAGE › Locations (Add a shop or storage location), and is then listed next to Overridden at.

The calendar's free time

In BACKOFFICE › Treatments › Calendar, the free gaps drawn in each day are the times a room is still free, inside the shop's opening hours. Tap one to book it (Book an appointment).

Done appointments keep their room; cancelled ones and no-shows free it. Undoing a no-show needs its room and its person to be free again (Look after appointments: find, mark done or no-show, cancel).

An appointment that runs past midnight is listed on the day it starts and keeps its room into the next morning, so the next day's free time starts when it ends.

Who carries out the treatment

When you book, Assigned staff (optional) names who will do it; — Anyone — leaves it open.

To set or change the person later, pick them under Assigned staff on the appointment in the calendar, or in the Staff column of BACKOFFICE › Treatments › Appointments. Bookings made online arrive with nobody, so this is how they get a person. Once an appointment is done, cancelled or a no-show, its person stays as it is.

Nobody is booked for two treatments at once: a person who already has an appointment at that time, at any shop, can't be given another. The rota isn't checked, so make sure they are working that day (The rota).

Who earns the commission

Commission follows the sale, not the booking: the sellers on the ticket at the till earn it, as with any product (Treatments at the till: today's bookings and treatment gifts).

To credit the person who did the treatment, put them under Sellers when you ring it up.

Questions

We have two rooms. Why can't I book two customers at 11:00?
The shop's Treatment rooms probably still says one. Check the shop's own number in its form in MANAGE › Locations, or the shared one on BACKOFFICE › Treatments › Online booking if that box is empty.
Where do I set the number of rooms?
On BACKOFFICE › Treatments › Online booking, in Treatment rooms, for every shop. A shop with a different number sets its own Treatment rooms in MANAGE › Locations; empty uses the shared number.
Does the rota decide when treatments can be booked?
No. Free times come from the shop's opening hours and the bookings already made; the rota only plans who works when.

Good to know

  • Pick Assigned staff on each online booking as it comes in: the whole team then sees on the calendar who is doing what.
