Treatment gift vouchers
A gift voucher entitles whoever holds it to one treatment. Vouchers are gifts the shop issues and hands over; they are never sold at the till.
Owners can change what each role may do.
Every voucher is recorded before it prints, so a slip can be checked at the counter, stopped if it is lost, and counted as what the shop owes. Everything happens on BACKOFFICE › Treatments › Gift vouchers.
Before you start
- Treatments switched on, with Print a gift voucher for this treatment on for the treatments you give: Turn on treatments.
Steps
Issue a voucher
- Step 1
Open BACKOFFICE › Treatments › Gift vouchers and tap Issue a voucher.
- Step 2
Choose the treatment under Which treatment is it for?.
- Marked Vouchers off? Someone who can edit the treatment menu taps Allow vouchers.
- Step 3
Answer What is it worth?: Free, Amount off, Percent off or Price to charge.
- Step 4
Fill in Who is it for? and, if useful, a Note for your records.
- Step 5
Tap Issue and print. The voucher is recorded first, then the slip prints.
When the customer brings it
- Step 6
Under Someone at the counter, type the code and tap Check this code. Checking never uses it up.
- Step 7
Read To charge: what the customer still pays for the treatment today.
- Step 8
After the treatment, tap Mark as used.
- Step 9
If there is an amount to charge, ring it up at the till: Treatments at the till: today's bookings and treatment gifts.
Cancel a lost voucher
- Step 10
Find the voucher in the list, or check its code.
- Step 11
Tap Cancel voucher, then confirm.
- Step 12
Tell the customer: a cancelled slip is turned away at the counter.
What happens next
- Issuing a voucher takes no money and moves no stock. It is added to Outstanding, valued at the treatment's price on the day it printed.
- Mark as used takes it out of Outstanding. A used code can't be used again, even from two tills at once.
- A code typed on the online booking page makes the voucher Held for a booking. It still needs Mark as used when the customer comes, and cancelling the appointment frees it.
- The slip gives the last day the voucher can be used, on the shop's calendar, and it is good for the whole of that day, as a gift card is. From the next day it shows Expired on its own; nothing needs doing.
How the rest is charged
To charge follows today's price of the treatment. “Covered by voucher” means there is nothing to take. An amount with “(voucher applied)” is what the customer pays. A plain price means this voucher saves them nothing.
The voucher itself never enters a sale. When there is an amount to take, sell the treatment at the till at that price and take the payment as usual.
Questions
How long is a voucher good for?
Can I change what the slip says at the top and at the bottom?
If you see this…
On screen
No voucher with that code.
What to do
Check the slip again. Upper or lower case and dashes don't matter, but a missing or extra character does.
On screen
That voucher has already been used.
What to do
It was marked used before; the list shows when. It can't be used twice.
On screen
That voucher has expired.
What to do
Its last day, under Expires, has passed, so it can't be used. Whether to honour it anyway is the shop's decision; a new voucher can be issued.
On screen
It cannot be cancelled while a booking is holding it. Cancel the appointment first — that frees the voucher.
What to do
Cancel the appointment in the calendar (Look after appointments: find, mark done or no-show, cancel), then cancel the voucher.
On screen
That voucher changed while you were looking at it. Check the code again.
What to do
Someone else used or cancelled it a moment ago. Tap Check this code again to see where it stands.
On screen
“Price not recorded”
What to do
The treatment has no price on the menu, so the app can't work out what to charge. Set its Price on the treatment menu.
Good to know
- Codes skip the letters people misread off paper, and the counter box takes them in upper or lower case, with or without dashes.
- A voucher for a treatment that can't be booked online has to be brought into the shop to be used.
