Getting started

Work in more than one workspace

A workspace is one business in Zero POS with its own books, customers, stock and gift cards. Save each one on your device and switch between them without retyping a password.

How-toFor: sellers · managers · ownersChecked 9 Oct 2026

Each workspace you sign in to on a device is saved in that device's list. Switching takes two taps and no password.

On this page

Choose your workspace on a phone, with the shop's workspace saved for one-tap entry

A workspace saved on the device opens with one tap, no password to retype.

Steps

Switch to another workspace

  1. Step 1

Tap your initials in the top bar, then Switch workspace.

  2. Step 2

Choose your workspace opens with the workspaces saved on this device.

  3. Step 3

Tap Enter on the one you want. It opens on its till.

Add a workspace to this device

  1. Step 4

On Choose your workspace, tap Add another workspace.

  2. Step 5

Type the email (or username) and the password you use for that workspace.

  3. Step 6

Tap Sign in & add. It joins the list and opens.

Remove a workspace from this device

  1. Step 7

On Choose your workspace, tap the bin beside a workspace (Remove from list).

  2. Step 8

It disappears from this device only. The workspace and everything in it are untouched.

  3. Step 9

To clear the whole list, for example before handing the device on, tap Sign out of all workspaces.

What happens next

  • Switching signs you out of the workspace you were in and into the other; the sidebar, data and settings change with it.
  • Nothing is shared between workspaces: a sale, a customer or a gift card lives in one only.
  • A device that has never opened a workspace needs its password once; after that, Enter is enough.

What a workspace is

One business in Zero POS: its own sales, customers, stock, gift cards, users and settings, including the currency, VAT and time zone.

A company trading under different currencies or tax rules usually keeps one workspace each, for example one for Gibraltar and one for Andorra.

A workspace is not a region

Inside one workspace, regions group shops and keep their customers, payment methods and gift cards apart, but share the workspace's currency, VAT and settings. See Regions and shops: who sees what.

Use regions for several shops under one set of rules; use separate workspaces for separate businesses.

Questions

Is my password the same in every workspace?
Each workspace has its own user for you, so each has its own password. Save a passkey in each one to skip passwords altogether (Sign in without typing a password).
How do I create a new workspace?
On the sign-in page, Create a workspace starts a new, empty business. Your existing workspaces are not affected.

If you see this…

  • On screen

“Could not enter … Try signing in again.”

    What to do

The saved sign-in for that workspace has expired or was signed out. Remove it from the list, then add it again with Add another workspace.

  • On screen

No saved workspaces. Sign in to add one.

    What to do

This device has none saved yet. Sign in once and the workspace is kept.

  • On screen

Enter your workspace code to sign in with a username.

    What to do

A username always needs the workspace's code. Your email needs it only when that same email and password open more than one workspace: then type the code of the one you want.

  • On screen

“This email is linked to more than one workspace. Pick one first.”

    What to do

Your email and password open more than one workspace. Type the code of the one you want in Workspace code, which has appeared on the form, and sign in again. Saved on this device? Enter opens it without the code.

Good to know

  • On a shared device, remove the workspaces nobody uses any more, so no one enters the wrong one by mistake.
