Record whether a customer wants offers
The Marketing emails field on the customer file records whether they want offers by email: Not asked, Subscribed or Unsubscribed. Offers follow it.
Owners can change what each role may do.
Offers by email only go to people who may receive them. The Marketing emails field on each file is where the shop records the customer's answer, and the customer can change it from any offer.
Before you start
- Record only what the customer told you. Never switch a customer's own Unsubscribed back unless they ask you to.
- Changing a saved customer needs a manager's access. Anyone who adds a customer can set it on the new-customer form.
Steps
- Step 1
Open the customer's file from BACKOFFICE › Customers.
- Step 2
Read the chip under the contact details: Not asked, Subscribed or Unsubscribed, with whether staff or the customer changed it, and when.
- Step 3
Tap Edit.
- Step 4
Under Marketing emails, pick what the customer told you.
- Subscribed when they say yes, Unsubscribed when they say no; leave Not asked if nobody has asked.
- Step 5
Tap Save Changes.
What happens next
- The chip shows the new choice, by staff, with the date it changed.
- The next offer counts the customer in or out. Each email is checked again just before it leaves, so someone who unsubscribes in the meantime is skipped.
- Nothing else changes: sales, receipts, points and store credit are not affected.
What the three choices mean
Subscribed: the customer said yes, so they can receive offers (Send an offer to your customers).
Not asked: nobody asked yet. They receive offers only if they have bought from the shop and the owner has turned on Email existing customers who have not opted out in MANAGE › Settings › Marketing emails.
Unsubscribed: the customer said no. No offer goes to them, whichever audience an offer picks.
The link in every offer
Every offer email carries an Unsubscribe link. A customer who uses it is marked Unsubscribed by the customer, and can change their mind with Subscribe again on the same page.
One inbox, one answer
The answer belongs to the email address. If two files share an address, an Unsubscribed on either stops offers to that address, and it receives one copy of each offer, not two.
Merging two files keeps the stricter choice (The customer file).
Good to know
- A customer added at the till starts as Not asked; ask them next time and record the answer.
- The chip reads by the customer when they used the unsubscribe link in an offer, and by staff when someone changed it on the form.
