Store credit
Store credit is money the shop owes a customer, kept on their file. A manager can add or correct it, and the customer spends it at the till like any payment.
Store credit belongs to one customer and lives on their file. It is not a gift card: nobody buys it, and it can only be spent by the customer it belongs to.
Before you start
- Store credit must be on: an owner ticks Enable store credit in MANAGE › Settings › Loyalty and store credit.
- Adding or correcting credit by hand needs a manager's access; by default owners, administrators and managers have it.
Steps
See or adjust a balance
- Step 1
Open the customer's file from BACKOFFICE › Customers.
- Step 2
Go to the Loyalty tab: the Store credit tile shows what the shop holds for them.
- Step 3
To add or correct it, type an amount under Adjust store credit and tap Apply.
- Positive amounts add credit and negatives deduct. Put the reason in Note, in up to 200 characters.
- If the change can't be saved, a message says why and keeps what you typed.
- Step 4
Check the change under Ledger on the same tab.
Spend it at the till
- Step 5
Link the customer to the sale in the Customer box (Find a customer).
- Step 6
Under Payment methods, tick Store credit; the balance shows in brackets.
- Step 7
Add a second method if the balance doesn't cover the whole sale.
- The till never lets the credit go below zero.
What happens next
- Adjusting credit changes only the customer's balance: no money goes in or out of the drawer.
- Paying with store credit takes it off the balance, and no cash or card is taken for that part of the sale.
- Store credit spent on a sale stays spent: no refund or cancel puts it back on the balance.
Store credit and refunds
Store credit is never given back, and no refund is ever paid as store credit.
A sale paid even partly with store credit is final: it can't be refunded, exchanged, cancelled or edited, and the credit it used stays spent (Refund a sale).
A walk-in sale has no file, so there is nobody to hold credit for.
Good to know
- Store credit shows at the till only for a linked customer with a balance above zero.
- Use a negative adjustment, with a note, to correct a mistake rather than a second positive one.
