Move stock between shops

Send units of one or more products from one shop or storeroom to another. Both counts change at once, and no money moves.

How-toBy default: Owner · Administrator · Manager · LogisticWhere: BACKOFFICE › Inventory › TransfersChecked 13 Oct 2026Step 11 of 17 · Running the shop floor

Owners can change what each role may do.

A transfer moves units of stock from one place to another: shop to shop, or between a shop and a storeroom. It moves products only, never money: a stock transfer is not a money transfer.

When to use it

For stock that physically travels. To fix a wrong count at one shop, use Correct stock by hand (Stock adjust); to move money between accounts, see Cash and bank accounts (Expert).

Before you start

  • You have at least two shops or storerooms (Regions and shops: who sees what).
  • You can move stock only between places in the regions you can see, and never into a closed shop.

Steps

Send stock

  1. Step 1

Open BACKOFFICE › Inventory › Transfers and tap New Transfer.

  2. Step 2

Choose where the stock leaves in From and where it arrives in To.

    • Storerooms show (Storage) after their name.
  3. Step 3

Tap Pick a product…, search by name or SKU and tap the product. A name needs no accents: “creme” finds Crème.

  4. Step 4

Type the Quantity in whole units.

  5. Step 5

For more products, tap Add product and repeat.

  6. Step 6

Add a Note if it helps, then tap Transfer stock.

    • With several products the button says how many. Each line shows Moved as it goes through.

Move one product from Stock adjust

  1. Step 7

Open Quick actions › Stock adjust and pick the shop the stock leaves in Location.

  2. Step 8

Tap Transfer on the product's row.

  3. Step 9

Choose the destination in To, type the Quantity and tap Transfer.

What happens next

  • The sending shop's count goes down and the receiving shop's goes up in the same moment.
  • Each product becomes its own line in the Transfers list, with the date, the Route, who did it (By) and the note.
  • Transfers show in the Stock Movements report (INSIGHTS › Reports). Takings, invoices and accounts don't change.
  • If the sending shop drops to its minimum, a low-stock alert can go out.

Questions

Is this the same as moving money between accounts?
No. This screen moves products. Money moves between your cash and bank accounts on INSIGHTS › Accounting › Transfers, explained in Cash and bank accounts (Expert).
Can I edit or cancel a transfer?
No, a transfer can't be edited or deleted. To undo one, transfer the same quantity back the other way, with a note saying why.
What if the sending shop doesn't have enough?
The transfer still goes through and that shop's count can drop below zero. Check the count first, or put it right with Correct stock by hand (Stock adjust).
A product doesn't appear when I pick a product. Why?
The picker lists the first 200 active products in alphabetical order. For a product further down a long catalogue, use Transfer on Quick actions › Stock adjust instead.

If you see this…

  • On screen

“Line 2 failed: … Earlier lines (if any) were transferred.”

    What to do

The lines before it were moved; that line and the ones after it were not. Remove the lines marked Moved, fix the failed one and submit again, or they will be sent twice.

  • On screen

That shop isn't active, so stock can't be sent there: it would drop out of your stock totals.

    What to do

The shop in To is closed. Choose a shop that is still open.

  • On screen

    Source and destination must differ.

    What to do

From and To are the same place. Change one of them.

  • On screen

Pick both a source and a destination.

    What to do

Choose a shop in both From and To before submitting.

Good to know

  • Say why in the note (for example “weekend event” or “restock from the storeroom”), so the list explains itself later.
