Products and stock
Add a product with its prices and opening stock at each shop, then keep prices and quantities right from the Products list.
Owners can change what each role may do.
Everything the till sells starts in BACKOFFICE › Inventory › Products: the name and photo sellers see, the prices, and how many units each shop holds.
When to use it
One product at a time. For a whole list from a spreadsheet, use Import your product list.
Before you start
- Your shops are set up (Add a shop or storage location): each one gets its own opening stock.
- You know how your shop charges VAT: How prices and tax work: VAT or sales tax explains the modes.
Steps
Add a product
- Step 1
Open BACKOFFICE › Inventory › Products and tap New Product.
- Step 2
Type the Name. The SKU is pre-filled with the next number; add a Barcode if you scan at the till.
- Step 3
Type the Price the way your shop works.
- When your shop charges VAT, the hint under Price says whether VAT is already inside the number or added on top at the till.
- Step 4
Set the Minimum Price (a sale below it follows your shop's below-minimum rule) and the Cost Price for margin reports.
- Step 5
Pick or type Categories: they become the tabs sellers browse at the till.
- Step 6
Under Stock lines at these locations, tap each shop that stocks it (with only one shop, it is already selected).
- Each shop ticked gets a line for its stock, on the form and on the list. It doesn't decide where the product sells: every shop's till sells it while it is Active, ticked or not.
- Step 7
Under Opening stock per location, type how many units each shop has now, then tap Create Product.
Keep prices and stock right
- Step 8
On the list, click a price or a stock number and type the new value.
- Step 9
Tap Save changes in the bar that appears, or Discard to drop your edits.
- Step 10
Use the In Stock, Low Stock and Out Of Stock tabs to see what is running out.
- Low Stock lists what has some left, at or below its level: the shop's Min. quantity, else the product's Low-stock alert threshold, else the default (Low-stock alerts: the default threshold). The low-stock alert uses the same level.
- Step 11
To stop selling a product, open its row menu, choose Deactivate, then Mark inactive.
What happens next
- The product is on the till straight away, at its Price.
- Opening stock, and every stock number you change on the list, is logged in the product's history and shows in the Stock Movements report (INSIGHTS › Reports).
- Selling below the Minimum Price follows your shop's approval rule (Below-minimum approvals).
- A deactivated product leaves the till; its past sales stay in invoices and reports.
Questions
Does the price I type include VAT?
How do I bring back a product I deactivated?
What if two products have the same barcode?
Can I change the stock on the product's form?
How do I correct the stock at one shop, with a reason?
How do I send units to another shop?
If you see this…
On screen
Minimum price cannot be higher than the price.
What to do
Lower the Minimum Price, or raise the Price, so the minimum is the same or less.
On screen
That SKU is already in use by another product.
What to do
Each product needs its own SKU. Type a different one, or keep the number the form suggests.
On screen
Stock at … changed while you were editing (a sale, a transfer or a count), so nothing was saved. The form now shows the stock as it is: enter your change again if it's still needed, then save.
What to do
The till sold the product, or its stock moved, while the form was open, so your figure would have undone that. The box now shows the shop's figure: check it, type your new figure if it's still right, and tap Save Changes.
On screen
Stock of … changed while you were editing, so that wasn't saved. The list now shows the stock as it is: enter the figure again if it's still needed.
What to do
The same on the list: the cell shows the shop's figure now. Type your new figure again if it's still right, then tap Save changes.
On screen
You can change stock only at the shops you work in. Put back any other shop's figures, then save.
What to do
Your account changes stock only in its own regions and shops, and this save changed a figure at another shop, so nothing was saved. Put back what you typed for that shop and tap Save Changes. Someone who works there, or the owner, can change its stock.
On screen
Not saved: …. You can change stock only at the shops you work in, so put back the figures you typed at other shops, then save.
What to do
The same on the list: nothing of the products named was saved. Put back the figures you typed in another shop's column, then tap Save changes.
On screen
Still saving: this is taking longer than usual. Keep this form open: it closes by itself once your changes are saved, or says here why they weren't.
What to do
The connection is slow. Wait with the form open: it closes once the product is saved, or shows why it wasn't, such as stock that changed meanwhile. If you close it first, the form you open next isn't told how that save ended: wait a minute, then open the product again to check what was saved.
Good to know
- There is no delete on the product list: deactivate a product instead, and its sales history stays.
- Count the shelves now and then with a Blind stock-take: count your shop's stock: it catches what day-to-day edits miss.
