Reports & dashboards

What each report answers

The Reports hub gathers every data report in one grid, grouped into Money, Stock and People. Here is the question each one answers and what to read first.

ReferenceBy default: Owner · Administrator · ManagerWhere: INSIGHTS › ReportsChecked 16 Oct 2026

Owners can change what each role may do.

Open INSIGHTS › Reports. The hub is called Data Reports and groups its reports into Money, Stock and People. Every report shares one bar: the dates at the top, filters, Group by, Compare to and Export CSV.

Before you start

  • By default the owner, administrators and managers can open Reports.

The reports hub with its grid of reports

Every report in one place; each opens with its own filters.

The bar every report shares

Pick the dates, then narrow with filters such as Regions, Locations, Users or Payment methods. Group by turns the rows into days, weeks, months, sellers and more.

Search ignores capitals and accents: “jose” finds José García, and “nunez” finds Núñez.

Compare to sets the figures against the Previous period or the Same period last year. Export CSV downloads the report with the filters you picked, for your accountant.

The report speaks your language: its columns, its rows and the CSV made from it. The file's name is written without accents, so any spreadsheet or computer opens it.

To come back to a set of filters or send it to a colleague, save it as a view or copy its link (Save a view and share a link).

Sales

What was sold, invoice by invoice: by date, seller, payment method, customer, location and status.

Categories keeps the invoices holding a product from those categories, each counted in full. For what one category sold on its own, use Products grouped by Category.

Customer type picks New (had never bought before the period started), Returning (had bought before) or Walk-in (no customer on the invoice).

Payments

How much came in by each payment method: gross, refunds and net, by region and location. Customer type filters it too.

It also needs the right to see Accounting; by default the owner, administrators and managers have both.

Expenses

Business costs by category, vendor, payment method and recurring source (Record an expense (including wages you paid)). It also needs the right to see expenses.

Its Payment methods filter offers the ways an expense is paid: Cash, Card, Bank transfer and Other. Other also keeps older expenses saved without a method.

Layaway balances

What customers still owe on open layaways and how long they have owed it. Group by customer to see who to chase (Layaway: hold items while a customer pays over time).

Its dates pick layaways by the day they were opened, and it opens on this year. The company dashboard's Layaways: still owed counts every open layaway; See who owes → opens this report on dates that hold them all (The dashboards, day to day).

Gift cards outstanding

What your shops still owe in goods on gift cards sold but not spent: Still owed, Cards, Sold, Spent so far and Age.

The money was already counted when each card was sold; this is what is left to hand over (Gift cards).

Till vs takings check

Only in Expert accounting. For each payment method: gross sales, refunds, card fees, and the difference between what the invoices say and what reached the account (Simple or Expert accounting).

Day closes

Every closed day in one list: what the till expected, what was counted and who closed it. A red difference means the drawer and the sales didn't agree (Close the day).

Products

Units sold and refunded by SKU, with testers, damaged stock, transfers and stock-takes. Cost and margin columns appear only for people allowed to see cost prices.

Stock Ageing

What isn't selling: days since each product last sold, units on hand and their value, including products that have never sold.

Stock Movements

Every stock change and why: sales, refunds, testers, write-offs, corrections, transfers, stock-takes and deliveries. Group by type to see what you lost.

Purchase Orders

Received orders, one per row: placed and received dates, supplier, units, total and paid (Order from a supplier and receive it). The money columns (goods, shipping, customs, total and paid) appear only for people allowed to see cost prices or purchase orders.

Stock-take Variance

Counted against the system across every stock-take, in units and at cost, by location, product or category (Blind stock-take: count your shop's stock).

Staff

Hours worked, breaks, each seller's sales, commissions, bonuses and deductions. Pay columns appear only for people allowed to see commissions and bonuses.

Customers

Top spenders, first and last visit, average ticket, and New against Returning customers. Min spend keeps only customers above an amount.

Each customer appears by name only, never with their email or phone. Two customers with the same name read “Ana Ruiz” and “Ana Ruiz · 2”, the second being the one who joined later.

The names are for people who may see your customers. Anyone else reads the same figures with every row as “Customer”, “Customer · 2” and so on, numbered in the order customers joined.

Hourly Heatmap

Sales, tickets and units by day of the week and hour of the day: when your business actually happens.

Insights

The bigger questions: who comes back, what money leaves with strangers, and who and what carries the shop (Read the Insights report).

Questions

Why is a report missing, empty or short of columns?
Till vs takings check appears only in Expert accounting. Payments and Expenses open for anyone with Reports but show an error instead of figures unless your role may see Accounting or expenses. Cost or pay columns, and the money columns on Purchase Orders, stay hidden unless your role may see them.
Why is the VAT column on Sales negative on some rows?
Refunds carry negative VAT: it is VAT the shop gets back. A period with refunds shows the VAT net of them.
What is the difference between Reports and Dashboards?
Dashboards show the day-to-day figures at a glance (The dashboards, day to day). Reports let you filter, group and export the detail.

Good to know

  • Walk-in on Sales and Payments shows how much money arrives with no customer on the invoice: people you can't invite back.
