Pay, commission, targets and costs: which report answers what
The reports behind pay and costs: hours and commission per person, what each one earns, targets, what the shop spends and what is left. Here is the question each one answers.
Owners can change what each role may do.
Pay and costs are spread over a few screens, each answering its own question. Staff and Expenses are data reports in INSIGHTS › Reports, pay is in the Payroll folder of the sidebar, and costs and profit are under Accounting.
Before you start
- Each screen has its own permission. By default Reports open for owners, administrators and managers, Team salary for owners, administrators and Human Resources, and each person's own My salary for everyone who sells.
- On Staff, commission shows only to people allowed to see commissions, and bonuses and deductions only to people allowed to see bonuses: by default owners, administrators, managers and Human Resources. Team salary shows them to whoever can open it.
Hours and commission per person: Staff
Staff lists each person over the dates you pick: Days worked, Hours, Shifts w/o break and Auto-closed shifts from their check-ins, then Sales total, Commission, Bonus and Deduction (Check in and out).
Group it by User, Location, Day, Week or Month, and Export CSV. Its commission is worked out as on each person's salary page; grouped by Location, it is shared out across the shops by each one's part of their sales, so the shops add up to the person's figures. Read that split as an estimate. Someone whose sales come to nothing, or who made none, has their commission, bonuses and deductions on No location.
What each person earns: My salary and Team salary
My salary is your own month, day by day; Team salary sets everyone side by side with Hours, Net sales, Commission, Hourly ledger, Bonuses and Payout (Read your salary page, Team salary and payroll runs).
Payout is the higher of hourly pay and commission, plus the bonuses not paid yet, less the deductions not paid back yet, never below 0, worked out by the month. Both pages use today's rates and tiers, past months included.
Payroll history keeps the payroll runs you saved: figures frozen for your accountant, which later sales or rate changes don't touch. Someone who runs payroll can still adjust a line or delete a run.
Tips: who was given what
When the shop asks for tips (Tips: what customers can choose and who gets them), Staff adds a Tips column after Commission in every grouping: each person's tips by the rule each sale was taken under, their share of their own sales plus their part of the team's tips on the days they were checked in at that shop. It shows to people allowed to see commissions.
Team salary and My salary show the period's Tips beside the pay, for information: Payout never includes them. The Payments report counts them as money taken, in their own Tips column; Sales, tax and commission never count them.
Pay tips out as you agree with the team, but don't log them as an expense: a tip was never the shop's money, so it is no cost. In Expert accounting, take it off the account it left with Adjust (Cash and bank accounts (Expert)).
Targets and rankings
MANAGE › Targets shows the target each seller has running today and their Progress; each person sees theirs as My Target on My results (Set monthly targets). Both count the same: the person's sales as their commission counts them, over every day of the target, the last one included.
Sellers compares the team's sales over a period, and Competition ranks today's (The dashboards, day to day). None of them pays anything: pay comes from rates and tiers (Set someone's pay: hourly rate and commission).
What the shop spends: Expenses
The Expenses report adds costs up by category, vendor, payment method or month; INSIGHTS › Accounting › Expenses lists every expense on its own line, and Recurring the ones that repeat (Record an expense (including wages you paid)). That screen also lists supplier-order payments as Supplier order lines, in its total; the Expenses report leaves them out.
Wages count as a cost only once you log what you paid as an expense: a payroll run pays no one and records no cost. A bonus or deduction marked Already paid (post to ledger) on a salary page moves money on the ledger you pick, and shows under Bonuses and deductions paid, not as a cost.
What is left: Accounting
The Accounting overview sets sales against costs, expenses included, down to Net profit.
Estimated salaries — live adds up the team's Payout for the period so far, and Bonuses and deductions paid the bonuses already paid, less the deductions paid back; neither changes Net profit.
Why one person's sales differ between screens
The salary pages, Staff and the targets count each person's sales the way commission does: without VAT, and a layaway as each payment comes in.
Sales grouped by Seller counts the same shares with VAT, and a layaway once, on the day it is completed (The Sales report: sales, refunds, VAT and margin). Both leave out what a gift card paid for and take a refund off on the day it is made.

- Read Staff grouped by Week before payroll: Auto-closed counts shifts nobody checked out of, whose hours are worth a look (Check in and out).
