The Sales report: sales, refunds, VAT and margin

See what your shops sold in any period, by day, seller, payment method or customer: sales, refunds, VAT, margin and average ticket, ready to compare or export.

How-toBy default: Owner · Administrator · ManagerWhere: INSIGHTS › ReportsChecked 16 Oct 2026

Owners can change what each role may do.

The Sales Report adds up every validated sale and refund in the dates you pick, one row per day, week, month or whatever you group by, with the total at the bottom.

When to use it

For what was sold. For the money in by each payment method: Payments (What each report answers). For each product: Stock reports: what sells, what sits and where it went.

What happens next

What the columns mean

Invoices: how many sales and refunds. Sales: what the sales came to, VAT included. Refunds: what went back. Net: sales less refunds.

VAT: the VAT inside those figures; a refund takes its VAT back, so a row can show it negative. Margin: the net without VAT, less what the goods cost when they were sold.

Avg ticket: the net divided by the number of sales. Below min and Below min sales: how many sales, and for how much, were approved below the minimum price (Below-minimum approvals).

What counts

Validated sales and their refunds. Cancelled and pending invoices never count.

A layaway counts once, on the day it is completed (its last payment taken), so completing one never changes a month you have closed. Until then, what is still owed on it is in Layaway balances (Layaway: hold items while a customer pays over time).

A gift card counts on the day it is sold, and what it pays for later isn't counted again (Gift cards). Grouped or filtered by Payment method, though, each way of paying has its row, Gift card included.

Questions

How are shared sales counted when I filter by seller?
Each seller gets their share of the sale; the part that belongs to anyone you didn't pick lands on Unallocated to selected sellers. Group by Seller instead for everyone's figures.
I picked one payment method. Why are the tickets smaller?
Only the part paid that way counts: a sale paid partly by card and partly in cash shows just the card part when you pick card.
Why does a category show more than it sold?
Categories keeps the invoices holding a product from that category and counts each one in full. For what a category sold on its own, use Products grouped by Category (Stock reports: what sells, what sits and where it went).
Why don't Sales and the day closes agree?
They count different things: a close counts the money taken that day, layaway deposits and instalments included, while Sales counts finished sales, a layaway on the day it is completed. Payments counts the money as the close does (Review the day closes: counted against expected).
Two customers have the same name. How do I tell them apart?
Grouped by Customer, each has a row of their own, and the one who joined later carries a number, such as “Marta García · 2”, as in the Customers report. Each keeps that label every month.

  • Group by Month and compare with Same period last year to see how each month did against last year.
