Review the day closes: counted against expected
See every closed day in one list: what each shop counted against what the till expected, method by method, who closed it and where it didn't match.
Owners can change what each role may do.
Each time someone taps Close day, Zero POS keeps what the till expected, what was counted and who closed it. The Day closes report lists them, newest first, one row per shop and day.
When to use it
To look back over closed days. To close today: Close the day.
Before you start
- By default the owner, administrators and managers can open Reports, for the shops in their regions.
- Closed days are listed, and a day reopened since its close, for its earlier count; a day never closed isn't.
Steps
Find a close
- Step 1
Open INSIGHTS › Reports and tap Day closes, under Money.
- Step 2
Pick the dates at the top: the report opens on This month.
- Step 3
To see one shop, pick it under Locations.
- Step 4
Read the row: the Date and the time it closed, the Location, and who it was Closed by.
Read the counts
- Step 5
Under Counted vs expected, each payment method shows what was counted, then what the till expected.
- Step 6
A red amount beside a method is how much it was over (+) or short (−).
- Step 7
Difference is the whole day: Matched, or the day's total over or short, in red.
- Step 8
Read any note left at the close: it shows under the counts, in quotes.
- Step 9
Day not opened under a date means that shop doesn't open its day: the evening was counted, the morning wasn't.
- Step 10
Closed 2 times under a date means the day was reopened or closed again; Reopened, not closed again means it is open again and waits for its close.
- Step 11
Under Earlier counts, each count set aside shows when and by whom it was made, what was counted and its difference, then who reopened it or closed it again, and why.
Export the closes
- Step 12
Pick the dates and, under Locations, the shops you want.
- Step 13
Tap Export CSV: a spreadsheet with a line for each payment method of each close.
- Step 14
Each line holds what was Counted, what was Expected and the Difference, with who closed, their note and Day opened: No for a day nobody opened. A day's lines add up to its Difference.
- Step 15
Earlier closes, the last column, says how many counts the day's close replaced. The lines are always the last count, and a day reopened and not closed again has none.
What happens next
- Nothing changes: the report only reads the closes.
- The money behind a close is in that day's Payments report (What each report answers).
- Each close also sent a Day closed notification, by default to owners, administrators and managers (Notifications: sale alerts and other events).
Reading a difference
With counting on, a day only closes when the total counted matches the total expected, so most rows read Matched.
A method can still be off while the day matches: a card payment rung up as cash shows cash short and card over by the same amount.
With counting off, each method is recorded as expected and the day reads Matched (Close the day).
A day marked Day not opened is measured on the same figures as any other: the till never expects the float, only the day's takings.
A count set aside is never part of the day's Difference: only the last close is.
Questions
Can I see a past day's sales and refunds?
A close is short. What do I do?
Why does a day show more than one count?
If you see this…
On screen
No closed days in this range
What to do
Widen the dates or clear Locations. A day that was never closed isn't listed.
On screen
No tender counts recorded for this close
What to do
That close holds no amounts at all, usually a day with no takings. Nothing is missing.
Good to know
- Pick Last month and one shop under Locations to see how often its till didn't match.
