Check-in rules: paid breaks, the cut-off and opening the day
Set how long a break stays paid, when a forgotten shift closes itself, who is alerted, and whether staff must open the day before they clock in.
Owners can change what each role may do.
The rules behind check-in are set for the whole business in Check-in and breaks. A region or a single shop can have a cut-off of its own, and a shop its own rule on opening the day.
When to use it
When you set up the shop, or when your break or closing times change. To clock in and out: Check in and out.
Before you start
- By default the owner and administrators change Check-in and breaks. Managers can read it and change Break-exceeded grace (minutes).
- A region's or a shop's own cut-off is set by whoever can edit regions and locations: the owner and administrators by default.
Steps
Breaks and the cut-off
- Step 1
- Step 2
Set Paid break (minutes): a break that long or shorter stays paid; a longer one is unpaid, all of it.
- Step 3
Set Break-exceeded grace (minutes): the extra minutes before managers are told a break ran over.
- Step 4
Set Cutoff hour and Cutoff minute, in the shop's time, and keep Auto-close past the cutoff on to close shifts nobody checked out of.
- Step 5
Tap Save.

- Step 8

- Step 9
Save. Use the company cut-off or Use the region's cut-off puts it back.

- Step 12
To set one shop apart, tap Edit on its row in MANAGE › Locations and choose under Day open.
Who is told
- Step 13
Open MANAGE › Settings › Notifications and find Other events.
- Step 14

What happens next
- Paid hours are each shift less every break longer than Paid break (minutes), counted in full. They feed salaries and payroll (Read your salary page).
- Soon after a shop's cut-off (its own, else its region's, else the company's), a shift still open there is closed at that time and marked no-checkout for a manager to check (Check in and out).
- A break that runs past the paid minutes plus the grace sends Break exceeded, once per shift.
- Closing the day checks out everyone still clocked in at that shop (Close the day).
Where staff can clock in
Staff clock in at the shops on their user record; owners and administrators at any shop. Nobody clocks in at a storage location.
Check-in asks which shop you are at; it doesn't use the phone's location.
One shift at a time: someone still clocked in elsewhere checks out first.
Questions
Can each shop have its own break rules or cut-off?
What if auto-close is off and someone forgets to check out?
What does 0 paid minutes mean?
If you see this…
On screen
Today hasn't been opened at this location yet.
What to do
This shop opens the day before anyone clocks in. Open it on New Sale (Opening float: open the day and count the cash), or set the shop's Day open to Not required at this location.
On screen
You can't clock in at a storage location.
What to do
Pick the shop you are working at: a storage location only holds stock.
Good to know
- Set the cut-off a little after closing time: a shift still open then is closed at the cut-off, even if someone is still tidying up.
