Activity history: who changed what

Activity history lists changes saved in your workspace: sales, money, stock, settings, people and customers. Filter it to see who did what, and when.

How-toBy default: Owner · AdministratorWhere: MANAGE › Activity historyChecked 30 Sept 2026

Owners can change what each role may do.

Changes that touch money, stock, people, customers or settings leave a row here: who, when, what and where. Nobody can edit or delete a row.

When to use it

To see what Zero POS support did in your workspace, use Support access: what Zero POS support did.

On this page

Before you start

  • Opening it needs the permission to view the activity history: owners and administrators by default.
  • Someone who works in some regions only sees the rows from those regions.

Activity history filtered to the invoice.create action: each sale with when it was made, who made it, its invoice number and total

Here the Action filter leaves only sales; the arrow at the start of a row opens what changed.

Steps

  1. Step 1
  2. Step 2

Narrow the list with Actor, Action, Entity and Period. Pick Custom under Period to choose From and To dates.

  3. Step 3

Or type in the search box: it looks in the action and the entity, such as “invoice” or “settings”.

  4. Step 4

Tap the arrow at the start of a row to open its Details: Before and After show exactly what changed.

  5. Step 5

With more than 100 rows, move through them with Previous and Next. Tap Clear to drop every filter.

What happens next

Reading a row

When is the date and time. Actor is the person; system means Zero POS did it on its own. Action is the event's short code, such as invoice.create. Summary puts it in words when it can. Where is the region and the shop.

Questions

Can a row be changed or deleted?
No. Rows are only ever added; nobody in the workspace can edit or remove one.
Does it record who looked at something?
No. It records changes that were saved, not the screens people opened.
Why can't I sort the columns?
Sorting works when every matching row fits on one page of 100. Narrow the filters first.

If you see this…

  • On screen

No audit rows match your filters.

    What to do

Tap Clear, or choose a longer Period.

Good to know

  • Type “settings” in the search box to see only settings changes: a changed setting often explains a sudden difference at the till.
