Regions and shops: who sees what

A region groups shops and keeps their customers, payment methods and gift cards apart. Every shop belongs to one region, and staff only see the regions ticked for them.

How-toBy default: Owner · AdministratorWhere: MANAGE › Settings › RegionsChecked 13 Oct 2026Step 4 of 19 · Setting up your shop

Owners can change what each role may do.

Most shops need one region. Add more when groups of shops run their own customers and money, for example two towns or two countries under one set of rules.

Every shop, person and customer belongs to one region.

What happens next

  • Each person sees customers, invoices and takings only for the regions they work in. Owners see every region.
  • Someone with no region ticked works in the regions of the shops ticked for them. With no shop ticked either, they see and record nothing until you tick one.
  • The regions list counts the locations, users and customers in each region.

What a region keeps apart

Customers: each customer belongs to one region. Payment methods: each region has its own list (Add a payment method).

Gift cards: a card can only be spent in the region that sold it (Gift cards). Cash and bank accounts usually belong to one region too (Cash and bank accounts (Expert)).

A region or a separate workspace?

Regions in one workspace share the company details, currency, VAT and settings.

When a business has its own currency or tax rules, give it its own workspace instead: see Work in more than one workspace.

Questions

Can I delete a region?
Only an empty one. Move its locations, users and customers to another region first.
What does Inactive do?
It marks a region you no longer trade in while keeping its history. Set Status back to Active to use it again.
Can a region close forgotten shifts at its own time?
Yes. Tap Edit on the region and, under Shift cut-off, choose Set a time for this region. Its shops follow it, except a shop with a time of its own (Check-in rules: paid breaks, the cut-off and opening the day).

If you see this…

  • On screen

A region with that name already exists.

    What to do

Pick a different name, or edit the region that already has it.

  • On screen

This region still has locations, users, or customers. Reassign them before deleting.

    What to do

Move its shops, people and customers to another region, or set it to Inactive instead.

  • On screen

No regions yet — add one under Settings → Regions.

    What to do

This shows on a user's Where they work tab. Add a region first, then come back to the user.

Good to know

  • After adding a shop in a new region, open each person who works there and tick the region, or they won't see it.
